Check out the short article online in Infonomics Magazine providing four tips for using multifunction peripherals and scan to pdf software for distributed capture. The article was written by yours truly.
What Works for Distributed Capture

Great article. I would take it a step further, and adding intelligent routing/separation with a cover sheet can help further automate Bill's notion of "one and done". They also provide a great way to standardize the overall process, which becomes extremely important in decentralized solutions.

Steve -- You raise a good point.
In many cases, document workflows can benefit from barcode file naming, meta data entry and document routing. Many people don't realize that this can be accomplished with MFP scanning.
Some processes, however, are more "ad hoc," that is they change frequently and can not be standardized. This is often the case when office workers need to scan documents to Microsoft SharePoint, where the workflow is sometimes more collaborative in nature. Barcode recognition may not be a good solution for ad hoc processes.
